1. Data Controller

The data controller is the Polish Society of Longevity Medicine (hereinafter referred to as the “Society”), with its registered office at ul. Na Uboczu 28/10A, 02-791 Warsaw, entered into the National Court Register under number 0001140161, NIP 9512610255, REGON 540262450.

2. Scope and Purpose of Data Processing

The Society processes personal data for the following purposes:

  • Membership in the Society – maintaining a register of members, fulfilling statutory rights and obligations.
  • Communication – sending information about the Society’s activities, events, trainings, conferences, meetings.
  • Financial settlements – collecting membership fees, issuing invoices and confirmations.
  • Events and projects – participant registration, organizational and documentation handling.
  • Compliance with legal obligations arising from applicable laws.

3. Legal Basis for Processing

Data are processed on the basis of:

  • Article 6(1)(a) GDPR – consent of the individual,
  • Article 6(1)(b) GDPR – necessity for the performance of a contract/statute,
  • Article 6(1)(c) GDPR – legal obligations of the controller,
  • Article 6(1)(f) GDPR – legitimate interest of the controller (e.g., informing about the Society’s activities).

4. Categories of Data Processed

The Society may process the following personal data:

  • name and surname,
  • contact details (email address, home/correspondence address, telephone number),
  • identification data (PESEL, NIP – if required),
  • membership-related information (date of joining, membership status, paid fees),
  • event-related data (participant lists, attendance confirmations).

5. Data Recipients

Data may be shared with:

  • entities providing accounting, IT, and consulting services,
  • institutions authorized under the law,
  • other members of the Society – only to the extent provided by the Statute.

6. Data Transfers Outside the EEA

Personal data will not be transferred outside the European Economic Area unless necessary to achieve statutory objectives (e.g., participation in international conferences). In such cases, appropriate safeguards in accordance with GDPR will be ensured.

7. Data Retention Period

Data are stored for the period of:

  • membership in the Society,
  • and after its termination – for the period required by law (e.g., tax, accounting),
  • in the case of data processed on the basis of consent – until such consent is withdrawn.

8. Rights of Data Subjects

Every individual has the right to:

  • access their data,
  • rectify their data,
  • erase their data (“right to be forgotten”),
  • restrict processing,
  • data portability,
  • object to processing,
  • withdraw consent at any time (without affecting the lawfulness of processing before withdrawal),
  • lodge a complaint with the President of the Personal Data Protection Office.

9. Data Security

The Society applies appropriate technical and organizational measures to protect personal data against loss, unauthorized access, disclosure, alteration, or destruction.

10. Changes to the Privacy Policy

The Society reserves the right to make changes to this Privacy Policy. The updated version will be published on the Society’s website.
